Council of Department Chairs

In attendance: Curtis Bennett, Margaret Karteron,  Andreas Bill, Maryanne Horton, Allie Puz, Lijuan Li, Will Murray, Lora Stevens, Lisa Martin, Henry Wu, Babette Benken, Jesse Dillon.

NOTE: THESE MINUTES REFLECT DISCUSSIONS THAT HAPPENED ON THE DATE OF THESE MINUTES.  DUE TO THE COVID-19 SITUATION, THINGS ARE RAPIDLY CHANGING.  FOR OFFICIAL POLICY PLEASE WAIT FOR DOCUMENTS FROM THE APPROPRIATE OFFICES.    

  1. Approve agenda (10:00)
  2. Approve minutes from April 19
  3. Announcements
    1. ASM
      1. HEERF funding is all completed
      2. Don’t foresee any issues with Non-HEERF money carryover
      3. Faculty stipend for FY 20/21 and retroactive GSI and SSI (07/01/22) have been processed.
        1. If anyone has a question please contact Henry before contacting Payroll.
    2. Operations Update
      1. Commencement
        1. Rehearsal is Friday, May 13
          1. 9:30 AM: Department Chairs will meet at Home Plate Gate
          2. 10:00 AM: Members of the Platform Party walk through processional and seating on platform
          3. 11:00 AM : Faculty Marshals walk through graduate line up in Tunnel A and processional and seating.
        2. Designated small stage for each department in front of the stadium.
          1. Stages 1 & 2: Biology
          2. Stage 3: Geology & Environmental Science & Policy
          3. Stage 4: Science Education
          4. Stage 5: Chemistry
          5. Stage 6 & 7: Math
          6. Stage 8: Physics
        3. Line Up
          1. Line up/Processional will be through Tunnel A.
            1. There will be signage for departmental line up.
            2. 12:30 – 1:00 PM is dedicated to lining up the graduates.
            3. Grand Marshals: Laura Henriques and Chuhee Kwon
          2. Platform Party will be entering from the dugout.
          3. Plan to arrive at noon or earlier on May 17th to accommodate traffic, parking, or regalia issues.
        4. Staff Attending Commencement
          1. Any staff who volunteered to work at Commencement will have it treated as a regular work day. If staff only want to attend Commencement and not work, they will need to take a vacation day.

        1. Elections will take place today and results will be sent out soon.

    4. Dean’s Report
      1. Staffing
        1. Please notify Henry and the Dean if Staff request work location changes to be sure It is all being handled fairly.
        2. Summer Staffing –
          1. Expectation: As of Aug. 1 staff will be expected to be on campus daily (5 days per week).
          2. Before approving requests from staff, please check with dean’s office.
          3. Summer IT will start on daily campus June 1.
      2. Donor Student Research Funds
        1. Proposal: Use these instead of scholarships so that the funds don’t affect financial aid.
      3. Course Completion numbers in RTP & Lecturer Evaluations
        1. College RTP document states that people should weigh in on course completion rates alongside SPOT numbers.
      4. Class cancellation reminder
        1. Be careful of class cancellations and how it will affect enrollment/registration.
        2. Notify the Dean’s Office of strategic cancellations and reasoning.
      5. Wait lists reminder
        1. Work to get us down to the campus standard of 4% waitlists, at most.
      6. New Institutional Outcomes
        1. Much like old, but we’ve added a 6th on student well-being/mental health, promoting economic social and environmental sustainability.
      7. ATS  is opening a Metatorium in the old Beach Hut location
        1. AR/VR/3D printing lab
      8. Library
        1. Extended hours but not 24/7 for finals (M. - TH.: 7:00 AM - 2:00 AM, F.: 8:00 AM - 5:00 PM, Sat.: 10:00 AM - 4:00 PM)
        2. Media studio is being updated to have more accessible items.
