Accounts Payable and Payment Inquiries

Course Information:

This course is required for CFS PeopleSoft End Users.

Course Description:

This course will cover how to look up vouchers associated with an individual who travels, plus reviewing supplier vouchers (1) attached to PO and (2) stand alone, and any documents related to the voucher.

The following will be covered:

  • Understanding the difference between invoices and vouchers
  • Inquiring on paid and pending vouchers
  • Reviewing Payment Status and related documents

Cash Handling/Credit Card/E-Commerce Payment Policies

Prerequisites:

Must be authorized to handle Campus payments via cash, checks, credit cards and e-commerce on behalf of a department or other operation of the University or University Foundations.

Course Information:

This course is required for employees and student workers with access to cardholder data; and assigned cash, cash-equivalent, checks and e-commerce duties. Annual training is mandatory for employees or student workers in areas designated to handle Campus payments.

Course Description:

The purpose of this course is to train employees and student workers on the following:

  • Cash Handling procedures
  • Accurate recording of receipts
  • Ensure the reliability of financial data
  • Protection of cardholder data

Prerequisites:

Course Information:

This course is required for all Business Unit End Users that have fiscal management responsibilities.

Course Description:

Attendees will gain a fundamental understanding of the Chartfields, Speedcharts and Approval processes. This class provides

  • an introduction to CSULB business units, ledgers and funds
  • definitions of the chartfield values that form the Chart of Accounts
  • an explanation for the use of speedcharts with campus chargeback providers
  • an understanding of Signature Authority & Delegation of Authority (DOA)
  • the process for inquiring on Delegation of Authority (DOA)

Data Warehouse Reporting 12c - All BU Reporting

Prerequisites:

Course Information:

This course is required for all new and current Data Warehouse End Users.

Course Description:

The following will be covered for all BUs (LBCMP, LBFDN, LB49R):

  • An overview of features in 12c
  • Managing Budgeted Funds
  • Managing Non Budgeted Funds
  • Transaction Reporting

DWH Labor Cost Distribution (LCD) Reporting

Prerequisites:

Course Information:

This course is targeted for LBCMP Business Unit End Users needing to perform reconciliations and/or analysis of Labor Cost Distribution data.

Course Description:

The purpose of this course is to teach the End User how to perform various financial analyses using payroll data and managing a budget that includes payroll costs.

Course Information:

This course is optional for CSULB Faculty and Staff who hire vendors, consultants, and independent contractors to perform services on or off campus.

Course Description:

The purpose of this course offered by Risk Management is to provide an overview of CSULB insurance requirements, required insurance documents, and risk identification/assessment.

This course is required for CFS PeopleSoft End Users.

Course Description:

The purpose of this course is to teach the End User how to enter Journal Entries in the CFS PeopleSoft System.

Procurement Card Training

Prerequisites:

Must be a procurement cardholder, or reconcile on behalf of a procurement cardholder.

An approved FAA form (PDF) (for cardholders and reconcilers) and Procurement Credit Card (DocuSign) (for cardholders) request form must be on file to attend class.

It is recommended that attendees complete the “Chartfields, Speedcharts and Approvals” training prior to enrollment in this course.

Completion of “Summary of Chartfields, Speedcharts and Approvals” training.

Course Information:

This course is targeted for CSULB Employees who are procurement cardholders and need to understand guidelines and permissible purchases, in addition to learning how to reconcile procurement card transactions for their own card, or reconcile on behalf of a cardholder before the cardholder reviews and signs the report.

Course Description:

The following will be covered:

  • Card Program and Usage Guidelines
  • Understanding How to Purchase and Pay and the impacts on cardholders
  • Monthly Reconciliation Process Overview
  • Modifying Transactions within the CSF ProCard module
  • Report options and submissions

Method:

The On-Demand training videos and/or instructions are available as a resource to complete your Monthly ProCard Submission, however, Colleges/Areas may have specific guidelines for how to complete the monthly ProCard submission. Please ensure you inquire with your management on your College/Area guidelines. Video On-Demand via Office 365 Stream (requires authentication via SSO).

Monthly ProCard Reporting Process

Procurement: Guideline & Monthly Reconciliation for Procurement Cardholders On-Demand Video

  1. Reconcile Transactions & Organize Documentation
    1. Reconciling transactions in the CSU ProCard Module (previously in-classroom training, not yet offered online)
    2. Organize Documentation with Adobe Scan Tutorial Plus OneDrive and Saving to OneDrive (on-demand videos*).
  2. Electronically Print/Save ProCard Statement from CFS to designated folder.
  3. Combine all files into a Single PDF (on-demand video*)
  4. Validate and Sign
    1. Adding a Digital Signature using a mobile application (on-demand video*)
    2. Adding Your E-Signature from the Desktop (on-demand video*)
  5. Send for Approval
    1. ​File - Share File within Acrobat DC or route via email.
    2. For Delegated Approvers, view instructions on How to Sign and Encrypt a File through Adobe (on-demand video*)
  6. Upload Attachments to CFS
    1. Upload Attachments to CFS PeopleSoft -Desktop (on-demand video*)
    2. Upload Attachments to CFS PeopleSoft - Mobile (on-demand video*)
      1. Note: If statement is not uploaded to CFS PeopleSoft by the deadline, the statement will be considered late(infraction) and must be emailed to ap-pcard and follow the naming convention - [Business Unit][Cardholder Last Name and First Name][Invoice#]

Interactive Training - this last training, attended only after viewing steps 1-6, is to provide hands-on reconciliation experience with immediate feedback from operational employees. Users will also have opportunities to ask questions. Attending this training is required prior to gaining access to the CSU ProCard module.

Procurement Card Reconciliation - Interactive Session

Prerequisites:

  1. Completion/Submission of the Procurement Credit Card (DocuSign) form for cardholders to request a card OR or email/written notification to fs-pcard@csulb.edu from reconcilers to notify that the person is solely a reconciler and for whom they will be reconciling.
  2. Completion/Submission by cardholders and reconcilers of an approved Finance Authority Application (FAA form) requesting access to CSU ProCard at least 2 business days prior to the session.
  3. Watch On Demand Videos:

Prerequisites:

Course Information:

This high-level workshop is required for staff members responsible for ordering office supplies, goods and services.

Course Description:

This workshop offered by Purchasing is to provide an overview of CSULB Purchasing guidelines; and Purchase options, such as submittal of on-line Requisition/Purchase Order, P-card, Staples, and Direct Expense.

Prerequisites:

Attendees must be authorized to make purchases on behalf of their department (Requisition or ProCard), or support the procurement of information technology for their department.

Course Information:

Purchasing ITC at the Beach is required for staff that purchase any information or communication technology products or services.

Course Description:

Attendees will be:

  • Introduced to the procurement compliance review (PCR) process
    • HECVAT/Security
    • E&IT Checklist
    • Purchasing review
    • ITS Review
    • Buyer notifies requester

Course Description:

This course will cover how to look up and review requisitions, purchase orders and related documents.

  • Understanding the Requisition to Payment Lifecycle
  • Inquiring on Requisition or Purchase Order Status
  • Running Lifecycle Reports

Prerequisites:

Course Information:

This course is only required for those end users who will be requesting the purchase of goods or services using the CFS PeopleSoft Requisition module.

Note: To gain the ability to enter requisitions using CFS PeopleSoft, request access using the Finance Authority Application.  Two step verification is required after gaining access. To understand the options, refer to the ITS Two Step activation article.

This course is recommended for CSULB Faculty and Staff who are new to Employee business travel at the University, and current members who want a refresher.

Course Description:

The purpose of this workshop is to provide an overview of proper campus travel procedures. End Users will learn what documentation is required before, during, and after business trips to ensure successful travel claim transactions.
