Council of Department Chairs

NOTE: THESE MINUTES REFLECT DISCUSSIONS THAT HAPPENED ON THE DATE OF THESE MINUTES. DUE TO THE COVID-19 SITUATION, THINGS ARE RAPIDLY CHANGING. FOR OFFICIAL POLICY PLEASE WAIT FOR DOCUMENTS FROM THE APPROPRIATE OFFICES.

  1. Approve Agenda (10:00)
  2. Scheduling - Time Certain (10:01-10:16) Vanessa Hernandez
    1. Fall 2023 Scheduling is currently in Phase I (large lecture allocations).
    2. List of smaller allocation rooms provided by the university.
      1. Must prioritize our smaller sections.
        1. Departments have access to edit the CNSM allocation rooms from now until January 4, 2023.
      2. The college needs to maximize the use of our allocated rooms.
      3. PH1 is going to be unavailable for 2024 and we must prepare for that.
  3. Approve Minutes from Nov. 1
  4. Announcements
    1. Operations Update
      1. Processes underway:
        1. Receiving applications for university awards
        2. Promotions are being moved through
        3. Department Chair sabbatical impact statements are due to InterFolio by Monday, 11/14 at the latest.
    2. ASM Update
      1. Campus EHS is catching up on new employee safety training (all hires since 2020 will receive a notice to complete safety training).
        1. You can only use Firefox or Chrome browsers for EHS training.
      2. Make sure all Student Assistant appointments are up to date and cleared appropriately
      3. Minimum wage will rise to $15.50 on January 1, 2023.
        1. One month grace period to adjust pay rates; after that month the adjustment is limited to 5% when a student has worked for one Academic Year or 280 hours.
      4. Telecommute
        1. This decision depends on the manager and department; do what works for your area.
      5. Be aware of substitute pay and absence policies.
        1. Faculty/Lecturer/TA taking Personal Holiday must be mutually agreed by Chair/Dean and Employee.
    3. Communications Update
      1. Email coming this week to collect “newsworthy” items.
      2. Value of digital vs. physical semester due range calendars.
    4. Dean Update
      1. Chairs and ADs Dinner on Monday, December 12, 2022.
  5. PTL Assignments/Evaluation Part 1 (30 minutes)
    1. Review policies and articles to ensure that part-time lecturer appointments make sense, are applicable, and don’t create complications down the line.
    2. We should not be waiting to the last minute to make decisions on lecturers.
