Transferring Grades to Faculty Center

Use the IMPORT GRADES button to transfer students' final grades from your course grade book directly into your Faculty Center. Before importing, follow the instructions provided below for Canvas to help you review and maintain gradebook integrity.

Canvas Instructions

For grading purposes, Canvas maintains 4-fields related to student grades in a course:

  1. Current score - % of all graded assignments
  2. Current grade - Letter grade based on current score
  3. Final score - % of all graded and ungraded assignments
  4. Final grade - Letter grade based on final score

In the gradebook view of a Canvas course, the Total column corresponds to the current score, which calculates and displays as a percentage value. To have Canvas also display the current letter grade within the Total column, you must enable the grading scheme setting for your course.

Enabling the grade scheme within your course allows Canvas to additionally populate the Total grade column with a student's current grade represented as a letter grade (e.g., 83% B). We suggest enabling this setting to help quickly determine grade accuracy before initiating the grade-pull process. To include this letter grade information in the Total column, follow the steps below:

  1. Navigate to your course in Canvas.
  2. In the Course menu pane, select Settings.

  3. Scroll down to the "Grading Scheme" setting. Select the checkbox for "Enable course grading scheme".

  4. Scroll down the course settings page and select the "Update Course Details" button.

    When you next view your gradebook, the Total column both the current score and current grade.

To help maintain the integrity of your gradebook, it is essential that faculty review final grades as calculated by Canvas. As such, we strongly recommend exporting the Canvas gradebook for a final review of calculated totals.

To view all students' current score/grade and final score/grade, you must first enable the Course Grade Scheme setting, then export your entire gradebook from Canvas:

  1. Navigate to your course in Canvas. 
  2. Click on the Grades link from the course navigation window pane.

  3. After the gradebook loads, select the Export option then "Export Entire Gradebook" from the dropdown:

  4. Open the newly generated .CSV file in Excel and review all students' final grades. Make updates in your Canvas gradebook to fix any discrepancies, such as the current score/grade not being the same as the final score/grade. See the "Canvas Grading Background" section above for an explanation of the difference between current score/grade and final score/grade.

Special Note: A dash (-) in the gradebook is not the same as a zero (0) grade.

Canvas provides a way for instructions to manually enter, adjust or override final grades. This is helpful for instructors who grade on a curve or adjust the weight of an exam as an example. To enable your Canvas gradebook for manual override, you must enable the Allow final grade override setting:

  1. Navigate to your course in Canvas.
  2. Click on the Grades link from the course navigation menu to open your gradebook.
  3. On the right side of the gradebook screen, click on the cog icon

  4. Click on the Advanced tab and select the "Allow final grade override" checkbox.

  5. Click the "Apply Settings button at the bottom of the page to save your settings.

  6. When you view your gradebook in Canvas, you will now see an "Override" column.

  7. To set an override grade for a student, click the cell of the student record you want to modify. The table cell will become editable.

  8. Type in a letter grade then press Enter or Tab or use your mouse and click outside of the cell. The override grade is now saved to the gradebook.

Faculty Center / PeopleSoft Instructions

 

After following the instructions above, log in to the Faculty Center, navigate to your course and select the Import Grades button.

When you press the “Import Grades” button in Faculty Center, you might receive an error. Below are examples of error messages and how to resolve them.

Error message:
No grades found for this class (XXXXX). This class has not been set-up to release grades and/or the Final Adjusted Grades have not been entered yet.

Resolution:
This error happens for one (1) of the following reasons:

  1. The “Grade scheme symbol” setting is unchecked for your BeachBoard class. To resolve this, see above Step 1, “Set course grade scheme symbol” and Step 2, “Choose Calculated or Adjusted Grade.”
  2. You have chosen to release the Final Adjusted Grade for your BeachBoard class, but these values are not filled out in your BeachBoard grade book. To resolve this, see above Step 3, “Setup Adjusted Final Grades.”  If you decide to release the Final Calculated Grade instead of the Final Adjusted Grade, see above Step 2, “Choose Calculated or Adjusted Grade.”

Error message:
No grades were returned. BeachBoard internal course ID not found for this class (XXXX).

Resolution:
This error happens when your BeachBoard class is set up in a way that is not expected. Please send an email to beachboard@csulb.edu with your course subject, course number, section number, and the text or screenshot of the error message. ATS will review your BeachBoard class setup. You might have to enter final grades into Faculty Center manually to meet the deadline of entering final grades in Faculty Center.

Error message:
Error occurred when retrieving grades for XXXXX: [error message details]

Resolution:
This error happens when something unexpected happens. This could be due to an issue with the network, a server, or something else. Try using the Import Grades button again in about 15 minutes. If the error persists, please send an email to beachboard@csulb.edu with your course subject, course number, section number, and the text or screenshot of the error message. ATS will troubleshoot the issue. You might have to enter final grades into Faculty Center manually to meet the deadline of entering final grades in Faculty Center.

Error message:
This is a merged class. Merged classes cannot be imported at this time.
