Organizational Changes in the Division of Administration and Finance

The Division of Administration and Finance recently entered a period of transition with the appointment of Mary Stephens succeeding William Griffith as Vice President for Administration and Finance. Griffith instituted a number of organizational changes during the five years preceding his retirement. The position of Associate Vice President for Information Management and Analysis was eliminated and the two units (Enrollment Services and Information Technology Services) formerly reporting to that individual were reassigned to report directly to the Vice President. Specialized functions of Safety and Risk Management, Information Security, Internal Auditing, Quality Improvement, Property Development, and Institutional Research were assigned to the Associate Vice President for Budget and University Services, along with Budget Planning and Administration. Governmental and Community Relations was reassigned to report directly to the President. These changes were determined to have reduced chain of command, streamlining decision-making and improving communication. Since her appointment, Mary Stephens has demonstrated her commitment to a strong partnership between Administration and Finance and Academic Affairs.

Organizational Changes in the Division of Student Services

The organizational structure of the Division of Student Services remains the same since the last WASC visit; however, there has been significant turnover in the management ranks as a result of a number of recent retirements. Competent and energetic replacements have taken the place of management personnel who have retired in recent years in the areas of Judicial Affairs, Women’s Resource Center and Student Health Services. The position of Associate Vice President for Student Services was filled in 2008.

Culture of Evidence

There is a strong culture of evidence that exists within the Division of Student Services. Ongoing planning and assessment activities include:

  1. Program Review – provides a process to review success of division units in meeting program goals and objectives
  2. Learning Outcomes – eighteen departments/ programs within the division have formulated learning outcomes related to their department mission and/or goals with a measurable outcome associated with it.
  3. Accreditation Reviews – conducted by outside professional organizations are completed on a regular basis for Student Health Services and Counseling and Psychological Services.
  4. Testing and Evaluation Services –administers the Freshman and Transfer Student Survey through the Cooperative Institutional Research Program (CIRP), the CSULB Student Satisfaction Survey, and the Collegiate Learning Assessment (CLA).

In addition, the division’s vision and mission statements are reviewed annually and tied directly to the university’s mission and vision statement. These planning and assessment activities are essential components of the division’s ability to provide feedback to current programs and identify emerging issues.

Collaboration with Academic Affairs

The Division of Student Services collaborates with Academic Affairs on several projects, including:

  1. Partners for Success – a program that pairs first-generation college students with faculty members who serve in the capacity of mentors. This successful program recently celebrated its twentieth anniversary and serves nearly 400 students each year.
  2. Beach Learning Community – a program that serves academically at-risk students through special services, such as advising, tutoring, family involvement and enrollment in pre-selected courses.
  3. African American Student Retention – the division collaborates in the support of a specialist working on African American student retention issues.

Technology Issues

The Division of Student Services Technology Committee has played a critical role in implementing standards for desktop computers and software, establishing division web standards and assisting with the implementation of university and CSU systemwide web and ADA requirements. In addition, the division has assumed a leadership role with the Accessible Technology Initiative (ATI) Steering Committee. The goal of the committee is to provide access to information resources and technologies to all members of the campus community and the general public, regardless of disability.

Organizational Changes in the Division of University Relations and Development

Leading this university through its first major donor campaign, President Alexander completely reorganized the Office of University Relations and Development, including hiring Vice President Andrea Taylor to manage university development.

Bringing a more organized and strategic approach to the university’s development activities, Vice President Taylor has increased accountability for development officers and created rational shifts in work expectations and goals.
