			<content:encoded><![CDATA[<p>Many of you are having to reset your password and may be confused as to why. In August of 2011, certain new systems went online, that began the process of unifying all campus passwords. The link between the passwords is BeachID. Once you activated your BeachID password and used the BeachID website (beachid.csulb.edu), your passwords for all campus services (except PeopleSoft SA) were synchronized. Now if any one of your passwords need to change, like CFS (every 90 days) that change will cause *<strong>all</strong>* of your passwords to change (except PeopleSoft SA). The campus is on a minimum 1 year password expiration, however, if you use a more secure system such as CFS, your password will expire more often than 1 year, CFS passwords expire every 90 days. So, if you need to change your CFS password because it expires, you need to change your BeachID password since CFS uses that password, and so does everything else (except PeopleSoft SA). Hopefully this clears things up a little, if not feel free to ask questions.</p>

			<content:encoded><![CDATA[<p>There are certain issues that CLA faculty and staff should be aware of with respect to the new email system:</p>
<ol>
<li>Some legitimate email messages are being automatically filtered into the junk mail folder. Information Technology Services is aware of the issue. It is recommended that you regularly monitor the junk email folder. If a legitimate message is moved to the Junk Email folder please take the following steps. In Outlook 2010 for Windows:  right click the message, select “Junk Email”, and select “Never Block Sender”. In Outlook 2011 for Macintosh:  hold the control key and click the message, select the “Junk Email “ item, and “Mark as Not  Junk”.  Macintosh Mail; hold the control key and click message, select Mark,  and select “as not junk mail”. The message can then be moved to the inbox or appropriate folder.</li>
<li>If after the email migration you are missing contacts or email messages, they are likely stored locally on your computer and need to be manually imported the new email system.</li>
<li>If you set a “Vacation Message” notification in the old email system prior to the migration you may not be receiving email messages sent to your old address.  The setting will need to be removed by ITS.</li>
</ol>

The migration window is scheduled from 6:00 pm Thursday 11/10/11 until Sunday 11/10/11. During that time CLA faculty and staff will not have access to their email accounts.  However, there is a good possibility that the migration will be complete sometime Saturday 11/13/11. 			<content:encoded><![CDATA[<p><strong>Change</strong>:  Installation of Microsoft Office</p>
<p>&nbsp;</p>
<p><strong>Overview</strong>:</p>
<p>In order to provide optimized service and support, the campus is standardizing on Microsoft Office 2010 for Windows and Office 2011 for Macintosh computers as part of the email upgrade project.  Tomorrow, Thursday 11/3/11, CLA Technical Services will begin remote installations of Office 2010 to Windows computers.</p>
<p>&nbsp;</p>
<p><strong>What you need to do</strong>:</p>
<p>If you have a Windows Desktop computer – Thursday, November 3rd, no later than 5 PM, please have your computer <strong>on</strong>, but logged off.  The remote installation will be pushed to your computer during the evening.</p>
<p>If you have a Windows Laptop &#8211; Office 2010 will install the next time the computer is started while physically connected to the campus network. Please note that you will not be able to use your computer during the installation which should take between 20 minutes to 1 hour to complete.</p>
<p><strong>Note</strong>:  if a computer currently has Office 2010 the system will not attempt to reinstall the application.</p>

<p><strong>For Macintosh Computers:</strong></p>
<p>We do not have the capability to remotely install Microsoft Office 2011 on Macintosh computers. If you have a Macintosh laptop please contact CLA Technical Service to coordinate having Office 2011 installed on your computer.</p>

<p><strong>THE COLLEGE OF LIBERAL ARTS EMAIL AND VOICE MAIL MIGRATION DATE HAS CHANGED TO NOVEMBER 12 AND NOVEMBER 13.  PLEASE READ THE FOLLOWING MESSAGE CAREFULLY.</strong></p>
<p><strong>Due to overwhelming demand for new email and voice mail training by College of Liberal Arts (CLA) faculty and staff, Dean Riposa has approved moving the CLA email and voice mail migration to <span style="text-decoration: underline;">November 12 and 13</span>.</strong><span id="more-104"></span></p>
<p>The extension gives CLA faculty and staff members an additional week of time to attend training and allows Information Technology Services to schedule more training sessions to meet the increased demand.</p>
<p>In conjunction with this project, your computer software will be upgraded to Microsoft Office 2010 for Windows or Microsoft Office 2011 for Mac.</p>
<p><strong>PLEASE NOTE THE FOLLOWING </strong></p>
<ul>
<li>You will receive a series of email communications with information about important actions for you to take before and after migration and where to call for help.  <strong>PLEASE READ THESE EMAILS CAREFULLY.</strong></li>
<li>If you haven’t already done so, RSVP today for a training session about the new email and voice mail systems and the difference between the current and new Microsoft Office suites.  Sessions are reserved for College faculty and staff members from October 25 through November 5. Visit the website to <a href="http://daf.csulb.edu/offices/its/training/cal/training.php#div1">see the schedule and sign up for a session</a> designated for CLA training.</li>
<li><strong>NOTE to Mac Users:</strong>   Training sessions for Outlook 2011 for Mac are available October 21, 28, and 31.</li>
<li>The Information Technology Services migration team and your CLA technical coordinators are working together to ensure you have access to the new system as quickly as possible with minimal disruption to your work.  However, email migration and Office implementation will take many hours.  <strong>You will NOT be able to access your email from 6 pm, Thursday, November 10, through Sunday, November 13. </strong></li>
<li>On Monday, November 14, you’ll access the new @csulb email system from Microsoft Outlook 2010 or from a Web browser using the Microsoft Outlook App (OWA).</li>
<li>Your email messages, contacts, and the most recent 12 months of calendar items will <strong>EITHER </strong>be migrated automatically to your new @csulb email account migration weekend <strong>OR </strong>will be migrated by CLA Technical Services staff after migration if automatic migration isn’t an option.</li>
<li>Email settings such as filters (rules) and signatures will not be migrated and can be established in the new system after migration.</li>
<li>You’ll access the new voice mail system from the telephone or Web Phone Manager.</li>
</ul>
<p><strong>BEFORE MIGRATION &#8212; STEPS TO TAKE NOW</strong></p>
<p>We are working to minimize disruptions during the migration. Please take the following actions to help make this a smoother transition.</p>
<ul>
<li><strong>Before November 4, review your preferred name in the campus HR system.</strong>  Your new email address will follow this format:  <a href="mailto:Firstname.Lastname@csulb.edu">Firstname.Lastname@csulb.edu</a>.   If you prefer to use a different name than what’s currently in the campus HR system, change your preferred name by doing the following:</li>
</ul>

<li><strong>Delete unnecessary emails and contacts.</strong>  Purging unneeded email, especially email with large attachments, will help save space and streamline the process. <a href="http://daf.csulb.edu/offices/its/email_project/what_you_can_do_to_prepare.html">Get tips for quickly deleting unnecessary emails</a> in Outlook, Thunderbird, Mac Mail or Lotus Notes.</li>
<li><strong>Messages in Trash/Deleted Items folders will not be migrated.</strong> If you need to keep these messages, you must move them to your Inbox or another folder you create.</li>
<li><strong>Accept pending meeting invitations</strong> to make sure they are on your calendar before the migration.</li>
</ul>
<p><strong>MIGRATION WEEKEND </strong></p>
<ul>
<li><strong>You will not be able to access your email from 6 pm, Thursday, November 10, through Sunday, November 13. </strong></li>
<li>If you require email access during the migration period, ITS recommends that you use a personal email address and share that address with essential contacts. If you have questions about establishing or sharing a personal address, contact ITS Desktop Support at 58344.</li>
<li>Your new mailbox will receive email messages sent to your WebMail-based or Lotus Notes-based email address.  (For example, if your WebMail or Lotus Notes email address is <a href="mailto:jjohnso7@csulb.edu">jjohnso7@csulb.edu</a>  and your new @csulb address is <a href="mailto:jim.johnson@csulb.edu">jim.johnson@csulb.edu</a> , messages sent to <a href="mailto:jjohnso7@csulb.edu">jjohnso7@csulb.edu</a> will be routed to your new address.)</li>
<li>New voice mail messages will arrive in your new voice mail box.  Existing messages will remain in your old voice mail box until they expire thirty days after receipt. You will have access to both systems for a period of time.</li>
<li>After your migration is complete, you may contact CLA Technical Services at <a href="mailto:cla-tech@csulb.edu">cla-tech@csulb.edu</a> or at extension 54572 if you have questions about accessing email using Microsoft Office 2010, Microsoft Office 2007, Outlook 2011 for Mac, or other College/Unit -supported software.</li>

<li><strong>RSVP for a training session.</strong> Several training sessions are reserved for CLA faculty and staff from October 24 through November 4.  Each session will provide training on the new email and voice mail systems as well as differences between Office 2007 and Office 2010.  Visit the website to <a href="http://daf.csulb.edu/offices/its/training/cal/training.php#div1">see the schedule and sign up for a session designated for CLA training</a>.</li>
<li><strong>Before October 31, review your preferred name in the campus HR system.</strong> Your new email address will follow this format: <a href="mailto:Firstname.Lastname@csulb.edu">Firstname.Lastname@csulb.edu</a>.  If you prefer to use a different name than what’s currently in the campus HR system, change your preferred name by doing the following:</li>
</ul>
<p>1. Before October 31, log in to the campus portal, MyCSULB, at <a href="https://my.csulb.edu/">https://my.csulb.edu</a><br />
2. Click <strong>Employee Center &gt; Personal Information Home &gt; Names</strong>.<br />
3. Review your first and last name as designated in the campus HR system.<br />
4. Click <strong>Edit</strong>, enter your preferred name, and then click <strong>Save</strong>.  <strong>NOTE:  Preferred names will be reviewed, and vanity entries will not be accepted.</strong><br />
5. Log off the campus portal.</p>

<ul>
<li><strong>Delete unnecessary emails and contacts.</strong> Purging unneeded email, especially email with large attachments, will help save space and streamline the process. <a href="http://daf.csulb.edu/offices/its/email_project/what_you_can_do_to_prepare.html">Get tips for quickly deleting unnecessary emails</a> in Outlook, Thunderbird, MacMail or Lotus Notes.</li>
<li><strong>Accept pending meeting invitations</strong> to make sure they are on your calendar before the migration, as calendar entries will also be migrated.</li>
<li><strong>Messages in Trash/Deleted Items</strong> folders will not be migrated. If you need to keep these messages, you must move them to your Inbox or another folder you create.</li>
</ul>
<p><strong>MIGRATION WEEKEND </strong></p>
<ul>
<li>Information Technology Services and CLA Technical Services are working together to ensure you have access to the new email system as quickly as possible with minimal disruption to your work. However, email migration will take many hours. <strong>NOTE: You will not be able to access your email from 6 pm, Friday, November 4, through Sunday, November 6.</strong></li>
<li>If you require email access during the migration period, ITS recommends that you use a personal email address and share that address with essential contacts. If you have questions about establishing or sharing a personal email address, contact ITS Desktop Support at 58344.</li>
<li>Email messages, contacts, and the most recent 12 months of calendar entries will <strong>EITHER </strong>be migrated automatically to your new @csulb account November 5 and November 6, <strong>OR </strong>will be migrated by CLA technicians after November 7 if they cannot be migrated automatically.  NOTE:  Email settings such as filters (rules) and signatures will not be migrated and can be established in the new system.</li>
<li>New voice mail messages will arrive in your new voice mail box. Existing messages will remain in your old voice mail box until they expire thirty days after receipt. You will have access to both systems for a period of time.</li>
<li>If you have questions about accessing email using Microsoft Office 2010, Microsoft Office 2007, Outlook 2011 for Mac, or other CLA-supported software after your migration is complete, please contact CLA Technical Services at <a href="mailto:cla-tech@csulb.edu">cla-tech@csulb.edu</a> or at extension 54572.</li>
<li>Instructions about accessing access new @csulb email and voice mail accounts will be provided before migration weekend.</li>

<li>Improved e-mail addresses based on first name and last name, e.g. <a href="mailto:john.doe@csulb.edu">john.doe@csulb.edu</a> and not <a href="mailto:jdoe28@csulb.edu">jdoe28@csulb.edu</a>.  <em>Note: your current e-mail address will point to the new account so that messages sent to the original address will still be received.</em></li>
<li>Calendar collaboration – ability to share calendars and create resource calendars (for rooms and equipment).</li>
<li>Campus global contacts will be available</li>
<li>Share and assign tasks</li>
<li>Accessible using Microsoft Outlook or via the web using Outlook Web Access (OWA)</li>
