Backup Important Data

Please “Backup” All Important Files Frequently. See CBA IT Web Links Below for Simple Windows/Mac OS X Backup Procedures

  • Protect yourself at all times, especially with research or important CBA documents. Some CBA personnel have recently lost irreplaceable data due to disk failure and no backup.
  • Most computer disk manufacturers say that your computer hard drive WILL FAIL within 3-5 years. Unless you backup your files frequently you are in danger of losing data.
  • All of you have or have access to either a DVD or CD writable drives that are capable of burning data on to a DVD or CD. It is recommended that you copy (burn) your important files to disk.
  • We recommend the Roxio (Windows) DVD/CD burning software - if you have it; however, the CBA web links below are a simple Windows XP (non-Roxio) and Mac OS X backup procedure for burning your files to disk.
  • As a strategy for Windows users,  make sure the files that you want to back up are in My Documents so that you can easily find them for back up purposes then go to this link for a video on burning them to disk:  http://www.csulb.edu/colleges/cba/it/tutorials/dvd-backup.html
  • As a strategy for Apple OS X users, make sure the files that you want to back up are in your Home folder  so that you can easily find them for back up purposes then go to this link for instructions on burning them to disk: http://docs.info.apple.com/article.html?path=Mac/10.5/en/8398.html
  • Please contact CBA - IT for backup assistance and questions. There is nothing more important!

USB Memory Sticks – “Things we have learned”

  • They are great for quick backups or transporting files – confidential files should be Encrypted.
  • They are easy to lose.
  • They are easy to damage.
  • They fail frequently.
  • If you place your USB into a virus/Trojan infected student computer or vice versa, your USB or computer will be infected and if you place an infected USB into your computer, it can be infected. This happened to us several times this past year.
  • Most people do not “encrypt” their USB’s. If it gets lost, personal/private/class files will be exposed by whoever finds it. If you store personal/private/class files on a USB, you should use some form of encryption software.
  • For USB Encryption we recommend the Microsoft Office 2007 Encryption option for your documents. It is easy to use and provides a high degree of security:
    • Microsoft Office 2007 Word, Excel and PowerPoint Encryption can be found by clicking the 2007 Office Button à Prepare à  Encrypt Document. Note:  if you forget the password it cannot be recovered.
  • Other good “Free”  Encryption software choices are TrueCrypt, AxCrypt and PGP.
