Managing Dropbox Folders and Categories

Editing a Dropbox Folder

  1. Click Dropbox from the Navigation Bar.
  2. Click the arrow next to the Dropbox folder you want to edit and click Edit Folder.

  3. Update the Properties, Restrictions or Objectives tab as desired.
  4. Click Save and Close.

Editing Multiple Dropbox Folders

  1. Click Dropbox from the Navigation Bar.
  2. Select the Dropbox folders you want to edit by checking the boxes on the left.
  3. Click Bulk Edit link at the top or bottom of the page.
  4. Update the appropriate fields.
  5. Click Save.

Editing a Dropbox Category

  1. Click Dropbox from the Navigation Bar.
  2. Click the edit icon (pencil) on the right, aligned with the Category you want to edit.

  3. Edit the Name of the category.
  4. Click Save.

Set the Availability Dates for a Folder

  1. Click Dropbox from the Navigation Bar.
  2. Click the arrow next to the Dropbox folder you want to edit and click Edit Folder. 
  3. Click the Restrictions tab.
  4. Select and set the appropriate Availability options:
    1. Has Start Date - Only allow submissions after this date. Use this option if you do not want students to access the folder before an assessment is assigned.
    2. Has Due Date - Use this option if you want students to be able to submit after the deadline but the submission will be marked late.
    3. Has End Date - Only allow submissions before this date. Use this option if you want to stop students from submitting assignments after the end date.
  5. Click Save and Close.

Set Release Conditions for a Folder

Release conditions allow you to associate a Dropbox folder with other items in BeachBoard. For example, you can require that students meet some criteria, such as reading a set of lecture notes in the Content before they can submit an assignment to the Dropbox folder. Or, you could make submission of assignment to the Dropbox folder the criteria for accessing some other item, like a quiz.

  1. Click Dropbox from the Navigation Bar.
  2. Click the arrow next to the Dropbox folder you want to edit and click Edit Folder
  3. Click the Restrictions tab and the Create and Attach button.
  4. Select a Condition Type and Topic and click Create
  5. Choose whether access to the folder is dependent on meeting all or any of your conditions.

Add Special Access Permissions

Special access permissions allow you to set different availability dates and times for specific students. For example, you could extend the deadline for students who require remedial help or who are submitting work beyond the original scope of the assignment. You can also add special access after a folder’s end date has passed for students who have a legitimate excuse for missing the deadline or for students you want to submit additional material, such as planning notes or a bibliography.

  1. Click Dropbox from the Navigation Bar.
  2. Click the arrow next to the Dropbox folder you want to edit and click Edit Folder. 
  3. Click the Restrictions tab, select either:
    1. Allow everyone to access this folder, but apply special access dates for users listed below.
    2. Only allow access to this folder for users listed below.
  4. Click the Add Users to Special Access button

  5. Select the Date Availability you want for the special access students.
  6. Use the View By and Search For options to locate the students you want to give special access to.
  7. Select the boxes beside the appropriate students’ names in the grid and click Save. 
  8. Once you have added special access permissions for students, they are listed in the Special Access section. You can edit or delete students’ special access by clicking the Edit or Delete icons beside their names.

Reorder Dropbox Folders and Categories

  1. Click Dropbox from the Navigation Bar.
  2. Click the More Actions button and click Reorder
  3. Select the new position for a folder or category using the Sort Order drop-down list beside its name. The positions of other folders or categories adjust accordingly.
  4. Click Save.

Delete a Dropbox Folder

  1. Click Dropbox from the Navigation Bar.
  2. Click the More Actions button and click Delete
  3. Select the folders you want to delete by checking the box to its left.
  4. Click Delete Selected.

Delete a Dropbox Category

  1. Click Dropbox from the Navigation Bar.
  2. Click the Delete icon beside the name of the Category you want to delete.
    1. Note: Folders contained in the category are moved to the No Category area.
